1. Terms of Sale (B2B Wholesale)
1.1 Business-to-business only. Vintage Warehouse UK is a wholesale supplier. Goods are sold exclusively to businesses, sole traders, and resellers for the purpose of resale or commercial use. By placing an order, you confirm you are acting in the course of business and not as a consumer. Statutory consumer rights under the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013 — including the 14-day right of cancellation — do not apply to B2B sales.
1.2 Formation of contract. An order placed through vintagewarehouseuk.com is your offer to buy from us. A binding contract is formed only when we dispatch the goods, not when payment is taken at checkout. We reserve the right to refuse or cancel any order at our discretion — including where stock is unavailable, pricing has been listed in obvious error, or we have reason to suspect fraudulent activity — and in that case any payment taken will be refunded in full.
1.3 Pricing and VAT. Prices on the website are in GBP. Prices are inclusive of VAT. Prices may change at any time, but changes do not affect orders that have already been accepted.
1.4 Payment. Payment is taken in full at the time of order via the payment methods made available at checkout. Goods remain our property until full cleared payment is received. Where a payment is subsequently reversed, charged back, or disputed, we reserve the right to suspend further orders and to recover any goods supplied.
1.5 Grading representation. Bundles are described as "Grade A" — meaning each item has been hand-inspected in our UK facility and considered wearable and resalable, free of major defects such as significant stains, holes, broken zips, or odour. Grading is a commercial standard, not a guarantee against minor cosmetic wear consistent with the secondhand nature of the goods. Sizing in mixed-size bundles is a guideline, not a guarantee — exact size splits cannot be promised on every bundle.
1.6 Branded items. Brand names referenced on the website (including but not limited to Levi's, Wrangler, Dickies, Tommy Hilfiger and Carhartt) refer to the genuine secondhand articles supplied. We are not affiliated with, endorsed by, or licensed by any of these brands. All trademarks and logos remain the property of their respective owners.
2. Shipping & Delivery
2.1 Dispatch. We aim to dispatch orders within 1 business day of cleared payment. UK delivery is typically 1–3 working days from dispatch via our nominated courier. EU and international delivery times vary by destination and carrier.
2.2 Delivery costs. Shipping is calculated at checkout based on weight and destination. Customs duties, import VAT and any other charges applicable to non-UK destinations are the buyer's responsibility.
2.3 Risk and title. Risk in the goods passes to you on delivery to the address provided. Title in the goods remains with us until full payment has been received in cleared funds.
2.4 Missing or delayed shipments. If your order has not arrived within 10 working days of dispatch (UK) or 21 working days (international), please contact us so we can open a tracer with the carrier. Carrier delays outside our reasonable control are not grounds for compensation, but we will work with you to track and resolve the issue.
3. Inspection, Returns & Refunds
3.1 Inspection window. You must inspect goods within 48 hours of delivery. Any claim relating to defects, missing items, mis-description, or incorrect bundle contents must be raised in writing (email or WhatsApp) within this 48-hour window, with photographs and your order number included. Claims raised after this window will not be accepted.
3.2 Defective or mis-described goods. Where a valid claim is raised within the inspection window, the customer can choose to (a) return the bundle for a full refund (customer must pay return shipping) , or (b) issue a partial credit to your account (value of the damaged items), Refunds are issued to the original payment method within 10 working days of agreement.
3.3 Returns of correctly supplied goods. Because our goods are sold B2B and prepared in mixed bundles, we do not accept returns for change of mind, resale performance, or because items did not sell on your chosen platform. Once dispatched, correctly supplied bundles are non-returnable.
3.4 Damaged in transit. If a parcel arrives visibly damaged, refuse delivery where possible or sign for it as "damaged" and contact us immediately with photographs of the parcel and contents. Damage claims are handled under section 3.1 above.
4. Privacy Policy
4.1 Who we are. Vintage Warehouse UK Ltd, Companies House number 17280063, registered office 13 Copeland CV21 1NL, is the data controller for personal data collected through vintagewarehouseuk.com under the UK GDPR and the Data Protection Act 2018.
4.2 What we collect. When you place an order, sign up for restock alerts, or contact us, we collect: name, business name, billing and shipping addresses, email address, telephone number, payment information (handled directly by Shopify Payments — we do not store full card details), order history, and any information you choose to provide via our support channels.
4.3 Why we collect it. Personal data is used to: process and fulfil your orders; provide customer support; send transactional emails such as order confirmations and dispatch notifications; send marketing emails about new drops and restocks only where you have opted in; detect and prevent fraud; and comply with our legal obligations including HMRC record-keeping.
4.4 Lawful basis. We rely on the following lawful bases under UK GDPR: contract (to fulfil your order), legitimate interest (to run, secure and improve our business), legal obligation (tax and accounting records), and consent (marketing emails and non-essential cookies).
4.5 Who we share it with. We share data only with the processors needed to run the business — currently Shopify Inc. (e-commerce platform and payment processing), our nominated email/marketing platform, our nominated couriers, and where required, HMRC, our accountants, and law enforcement. We do not sell personal data.
4.6 International transfers. Some of our processors (notably Shopify) may transfer data outside the UK. Where they do, transfers are made under UK GDPR-compliant safeguards such as the UK International Data Transfer Agreement, the EU Standard Contractual Clauses with the UK Addendum, or an adequacy decision.
4.7 Retention. Order and customer records are retained for at least 6 years to comply with HMRC requirements. Newsletter records are kept until you unsubscribe. Support correspondence is kept for 2 years from last contact.
4.8 Your rights. Under UK GDPR you have rights to access, rectification, erasure, restriction, portability and objection in respect of your personal data, and the right to withdraw consent at any time. To exercise any of these rights, email [CONTACT EMAIL] with your request. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
5. Cookie Policy
5.1 What we use. Cookies are small text files stored on your device. We use three categories:
- Essential cookies — required for the cart, checkout and login to function. No consent needed.
- Analytics cookies — Shopify Analytics, and [Google Analytics / other if used] — to understand how the site is used so we can improve it.
- Marketing cookies — [Meta Pixel / TikTok Pixel / other if used] — for retargeting and measuring ad performance.
5.2 Your control. When you first visit, our cookie banner allows you to accept or reject non-essential cookies. You can change your choice at any time via the cookie preferences link in the footer, or by clearing cookies in your browser.
6. Acceptable Use of the Website
You may not use vintagewarehouseuk.com to: gain unauthorised access to any part of the site, server or database; transmit malware or run scraping scripts; or place orders under false identity or with fraudulent payment details. We reserve the right to refuse service and cancel accounts that breach these terms, and to report serious breaches to the relevant authorities.
7. Intellectual Property
All content on vintagewarehouseuk.com — including the Vintage Warehouse UK name and logo, photography, copy, layouts, and the underlying code — is owned by Vintage Warehouse UK Ltd or licensed to us. You may not reproduce, redistribute, or use it without our written permission, except that resellers may use product photography we provide for the limited purpose of reselling the specific items they have purchased from us.
References to third-party brands (Levi's, Wrangler, Dickies, Tommy Hilfiger, Carhartt and similar) are nominative references to the genuine secondhand articles supplied. All third-party trademarks remain the property of their respective owners.
8. Limitation of Liability
Subject to the above, our total liability to you in connection with any order — whether in contract, tort (including negligence), misrepresentation or otherwise — is limited to the price paid for the goods in that order. We are not liable for any indirect, special or consequential losses, including lost profits, lost resale value, business interruption, loss of goodwill, or losses caused by carrier delays outside our reasonable control.
9. Governing Law & Jurisdiction
These terms, and any dispute or claim arising out of or in connection with them, are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction to settle any dispute arising under these terms.
